1. About TeeEdOff Reservation

TeeEdOff Reservation is an internal reservation management application operated by Tee-ed Off, an indoor golf facility.

The application helps manage golf simulator bookings, rescheduling, cancellations, and the operation of golf simulator bays. Customers do not log in to this application.

2. Information We Collect

When customers make or modify reservations through uSchedule, TeeEdOff Reservation may process the following information from reservation notification emails:

Customer name
Reservation date and time
Assigned golf simulator bay
Appointment type
Reservation status, including cancellations and rescheduling

The application may also receive other information included in uSchedule notification emails, such as customer contact details.

3. Google Gmail Access

TeeEdOff Reservation uses the Gmail API with read-only authorization to retrieve reservation notification emails sent by uSchedule to our business Gmail account.

Although Google's read-only permission technically permits access to other messages in the authorized mailbox, TeeEdOff Reservation is designed to search for and process uSchedule reservation notifications.

Gmail information is used only to support reservation management. The application does not send emails, modify Gmail messages, or use Gmail data for advertising.

4. How Information Is Used

Reservation information is used to:

Manage golf simulator bookings
Process reservation changes and cancellations
Schedule golf simulator sessions
Coordinate simulator bay startup and shutdown
Maintain accurate reservation records

We do not sell customer information or use reservation information for advertising.

5. Information Storage and Security

TeeEdOff Reservation is being developed for operation on a central controller computer managed by Tee-ed Off.

Reservation records are intended to be stored locally on that controller. Access to customer reservation records will be limited to authorized personnel.

The six simulator bay computers are intended to receive only the operational instructions needed to manage their sessions, rather than access to the complete customer reservation database.

We take reasonable measures to restrict unauthorized access to reservation information.

6. Data Retention

Our planned retention period for completed and canceled reservation records is 90 days.

We intend to implement automatic removal of these records after that period. Until automatic deletion is implemented, records may remain stored longer.

Other information, including Gmail messages and system backups, may have separate retention periods.

7. Sharing Information

We do not sell reservation information.

We use uSchedule as our booking service and Google Gmail to receive reservation notifications. Information may be processed by these services according to their respective privacy policies.

We may disclose information when required by law.

8. Google User Data

Information obtained through Google's APIs is used only for the reservation-management functionality described in this policy.

TeeEdOff Reservation's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.

9. Privacy Requests

Customers may request information about their reservation records or ask for applicable personal information to be corrected or deleted.

10. Changes to This Policy

We may update this privacy policy as TeeEdOff Reservation develops or our information-handling practices change.
